Account, contact and organisation details.
Job application responses, resumes, documents and messages.
Video or audio interview recordings and transcripts, where a candidate chooses to complete an interview.
AI-assisted summaries, scores and processing results used to support human review.
Basic device, usage and security information.

2. How we use information

Provide, secure and improve Effica Hire.
Process applications and support interviews.
Send transactional emails and platform notifications.
Support employers with hiring and onboarding workflows.
Meet legal obligations and resolve disputes.

3. AI processing

Effica Hire may use automated tools, including AI, to transcribe interviews and provide employers with summaries, scores and recommendations. These tools support review; the employer makes the final hiring decision and reviews any adverse AI recommendation before deciding.

4. Storage and security

Effica Hire is operated from Australia. Primary application records and files are hosted in Australia. Some trusted service providers may process information overseas, including in the United States. We use reasonable technical and organisational safeguards, including access controls and tenant isolation, to protect personal information.

We do not sell personal information. We may disclose information to:

The employer or organisation using Effica Hire for the relevant hiring process.
Trusted providers that help us host, secure, email, analyse and support the platform, including Supabase, Vercel, Trigger.dev, OpenAI, Stripe and Resend.
Regulators, courts or authorities where required by law.

6. Retention

We keep information for as long as needed to provide the service, support the relevant hiring process, meet legal obligations and resolve disputes. Employers may set their own retention periods for candidate records. When information is no longer required, we take reasonable steps to delete or de-identify it, subject to legal and secure backup requirements.

You may request access to, correction of, or deletion of personal information we hold about you. You may also contact the Office of the Australian Information Commissioner at oaic.gov.au.

8. Cookies

We use essential cookies for authentication and session management. We do not use third-party advertising cookies or tracking pixels.
